What changes when your whole season is in one place
Christ Prep Football is Christ Prep Academy's football program in the Kansas City area, for grades 7 to 12, run by parents and volunteers and open to homeschool families. This is its season before Team Scout and after: for the families, for the bookkeeper, and for the people who run the program.
Before
Three places for one season, and messages that missed families
For five seasons, registration and payments ran on SportsEngine. Email sent from SportsEngine did not reach every family, so the program's administrator downloaded the player list and sent from Gmail, which left out the coaches and staff.
The schedule lived in a shared document that kept changing.
When a deposit landed, the school's bookkeeper worked out by hand what was inside it: a registration, an equipment fee, travel, or a refund of one of them.

One form does the whole job
The fee, the payment plan, the waivers and the documents are on the same registration, so a family finishes in one sitting.
Forms that don't ask for the same information twice
A parent signs in with a mobile number and a code, and Team Scout fills in what the family already gave for the next form or a second child.
Payment plans nobody has to remember
Each installment is charged to the card on file on its date, and the family gets a reminder before it goes.
Game tickets on the phone
Families buy ahead from their phone and the gate crew scans the code. Walk-ups pay on a card reader.
Volunteer shifts picked from the phone
Families choose the slot that fits their week, and the program reminds everyone on a shift with one tap.
One calendar for everyone on the team
When a coach moves a practice, the team calendar in the app shows the new time for every family, so nobody drives to an empty field. Each team has its own group, so JV parents get JV news.

Every deposit shows exactly what was paid for
Open a deposit and see every payment inside it: a registration, tickets, a program ad, a sponsorship or a gift, each with the family it came from.
Cash and checks are recorded the same way, with the check number.
Each refund is tied to the item that was refunded.

A season now
From the first form to the last home game, in one place
Spring
Registration opens: the fall season, the player clearance packet, camps and the weight-training program, each its own form, paid in full or on a plan.
May
A red carpet movie premiere and ring ceremony, with tickets sold online ahead of the night.
Summer
Program-book ads and sponsorships sell from a link, and players raise their travel money with every gift credited to the player who brought it in.
Game days
Families arrive with tickets on their phones, volunteers scan at the gate and work the shifts they picked, and walk-ups pay on the card reader.
All season
When the schedule moves, families read the new time in the app instead of an old copy of a shared document. Posts go to the team they are about. The bookkeeper sees every payment as it lands.
