A marching band season is a small logistics company: a band fee, a uniform for every student, chaperones and pit crew for every competition, concessions at home games, and fundraising all year. Team Scout gives the booster board one account for all of it.

Band fees in installments

A registration form with the fee, waivers and a payment plan on dates you set. Cards on file are charged on schedule, with reminders before each charge, and families paying by check show Awaiting check until you record it.

Uniform checkout

Define the uniform pieces, check them out to each student with sizes and numbers, see what is out, and check them back in after the last concert. Missing or damaged pieces get flagged.

Volunteer credits with buyouts

Set the credits each family owes and what each shift is worth. The coordinator sees earned against required for every family, and the end-of-season report shows buyouts collected.

When to start: Band camp starts in July and the competition season runs through the fall, so the band fee form and its payment plan belong live by early summer.

When you start collecting money — registrations, dues, sponsorships, merch — plans start at $29 a month billed annually plus a platform fee of 3.9% that drops to 2.9% and 1.9% as you grow. Card processing is passed through at cost. No per-player fees. No contract.

We hand off to a new board every year. Does the history stay?

Yes. The organization owns the account, and officers are roles you reassign. Every payment, volunteer record and uniform checkout stays with the org.

Can we sell tickets to concerts and the band showcase?

Yes. Ticket types with capacity and a sales window, scanned at the door from any phone, with walk-ups on a card reader.
